Client Representative - Account Specialist

Position Summary

The Crisis Center of Tampa Bay brings help, hope and healing to people facing serious life challenges or trauma resulting from sexual assault or abuse, domestic violence, financial distress, substance abuse, medical emergency, suicidal thoughts, emotional or situational challenges. The Client Representative – Account Specialist’s primary responsibility is to facilitate the billing and collection process for Corbett Trauma Center. This position reports to the Manager of Client Experience and in his or her absence the Clinical Director of Corbett Trauma Center.

Strategic/Transformational Duties and Responsibilities

  • To utilize medical billing experience to accurately code, bill and collect for services rendered by the Corbett Trauma Center.
  • Begin and facilitate growth of payer relationships and contracts for Corbett Trauma Center

Transactional/Administrative Duties and Responsibilities

  • Verify all patient demographic and insurance information
  • Prepare billing for all third party, self-pay, and government reimbursements
  • Provide customer service for insurance companies, self-pay clients and other telephone inquiries
  • Follow-up on late reimbursements
  • Follow appropriate dispute/resolution process with insurance companies regarding denials and underpayments
  • Determine appropriate payer sources and accurately code claims
  • Compose and provide correspondence, memoranda, and reports for third party payers, as needed
  • Maintain up-to-­date credentials for each licensed provider, including verification through primary and secondary sources, records, and relay credentialing information to relevant personal as needed.
    • Keeps accurate records of provider licensure/ certification renewals
    • Assist Human Resources in vetting prospective providers as needed
    • Coordinate provider enrollments in all commercial, state and federal insurance programs
    • Correspond with and provide updates to insurances
  • Collect client payments and register payments in database (EHR, tracking system)
  • Ensure that payments collected from clients correspond with the daily ledger
  • Help maintain client/billing database by ensuring accuracy of all information
  • Document communication with clients into the database
  • Obtain insurance verification or determine payment options, pre-authorizations and copay information
  • Know and comply with HIPAA regulations
  • Know and comply with Policies and Procedures of the Agency
  • Assist in gathering data for necessary reports
  • Participate in maintenance of client files, ensuring confidentiality of information, maintaining the proper completion and security of client records
  • Assist other staff with answering phones, completing intakes/front desk tasks as needed
  • Perform such other duties as may be assigned by supervisor.

Education and Experience

  • Two (2) years of medical billing experience using medical terminology and ICD coding
  • High school diploma or its equivalent, Bachelors preferred
  • Minimum typing speed of 45 computer wpm
  • Complete ACT Service Training as required by FCASV within the first 30 days of employment. Maintain Certification for FCASV

Knowledge, Skills and Abilities

  • Knowledge of HIPAA regulations
  • Knowledge of medical terminology and ICD coding
  • Knowledge of insurance coding, billing and collection practices
  • Knowledge of third-party reimbursement procedures, including, Medicare and Medicaid
  • Knowledge of office procedures and practices
  • Knowledge of the principles and techniques of verbal and written communications
  • Knowledge of Microsoft Office, faxing and scanning
  • Ability to read and interpret EOBs and other insurance correspondence
  • Ability to prepare correspondence and reports
  • Ability to understand and apply policies and procedures
  • Ability to type 45 CWPM
  • Ability to insure timely completion of work assignments
  • Ability to communicate effectively verbally and in writing
  • Ability to establish and maintain effective working relationships with others
  • Skill in the operation of a variety of computer software

Physical Demands/Working Conditions

Physical Requirement: Must have ability to lift and carry up to 10 lbs. The employee frequently is required to sit and reach with hands and arms. The employee is occasionally required to stand and walk. Specific vision abilities required by the job include close vision, color vision, and the ability to adjust focus. This position performs duties of above average difficulty requiring reasonable initiative and independent judgment under limited supervision.

Working Conditions: Duties are performed in an office setting. The noise level is moderate.

Travel: minimal

Hours: Monday-Friday with varied hours as need for department.
